Updated October 2026

Acrefile is run by Badgair Bros LLC in the Chippewa Valley, Wisconsin. This page says who can see your farm's record and your messages, where they're kept, what our AI sees, and what we do when someone asks for them.

Who owns your record and who sees it

  • You own your record: your farms, fields, soil tests, maps, yields, tickets and costs.
  • An agronomist or another business sees it only after you let them in from Sharing, and then only what you pick there: your whole farm, or some of your fields.
  • A business that set up your record for you, with your OK, can see it too. It's listed on Sharing like any other.
  • Costs and prices are kept apart. A business sees them only if it can see your whole farm and you turn on "Can see costs and prices" for it. That covers your price list, cost sheets, pass costs, grain contracts, and your tickets with their prices and photos. A message is another matter: what's written in one reaches the business whatever this switch says. So do the words on its to-dos and jobs with your farm.
  • You can add people to your farm, like family or a hired hand. Each signs in with their own email.
  • You pick what each person can do: set up fields, add records, add tickets, see money, and write to the businesses you let in. Only you add people. You can take anyone off, and they can leave on their own.
  • A business you let in doesn't see the list of people on your farm or what each can do. It sees the name of each person who writes to it, asks it for something, or is given or checks off one of its to-dos. It also sees who added or changed the fields, soil tests, reports, spots and field log entries it can see. It doesn't see your Sharing list either: the other businesses you've let in and what each one can see. Work another business signed for you still shows that business's name.
  • If someone on your farm also works at a business you let in, they see what that business sees, papers and to-dos about money included.
  • You can hand your farm to someone on it. It's theirs once they accept, messages included.
  • You can turn anyone's access off from Sharing. It stops right away. A business you turn off keeps a copy of its messages with you, to read only. It keeps the papers it filed too.
  • We don't sell your record or show ads, and we don't use it to train AI.

Messages with a business

  • Each business you let in has one thread with your farm, under Messages. A question you send from a field or from the assistant goes there too.
  • Everyone on your farm reads every thread. The people you let write to businesses can send in them.
  • Everyone at that business reads its thread with you. No other business you let in sees it.
  • A business let in on some of your fields still reads its whole thread with you, including messages about a field you later take off its list.
  • Each message shows who wrote it, by name, with your farm's or the business's name. The name stays as it was when the message was sent, even after that person leaves.
  • Once a message is sent, nobody can change it or take it back. A correction is a new message, and both stay.
  • Everyone on your farm reads what's written in a message, whether they see money or not. So does the business, whatever "Can see costs and prices" says. That includes the assistant's answer you send with a question.
  • A business can mark a file it sends as about money. On your farm, only people who see money can open it. The others see that a file is held back.
  • Photos you send are made smaller and lose their location tags first. Other files, videos included, go as they are, with any location tags they carry.
  • When someone at the business has had your message on screen, you see "Seen" and the time under it. They see the same for your farm. It never says who. Acrefile keeps when each person last read each thread, and your farm's owner gets those times in Download your record, on your farm's home page.
  • When a business writes, Acrefile emails the address on your farm's record and anyone on your farm who has written in that thread. When your farm writes, Acrefile emails the business's agronomist for your farm, or its contact email, and anyone there who has written in the thread.
  • Each email waits 5 minutes, and one email covers everything sent in that time. It doesn't go if someone on that side has read the thread or written in it by then. Nobody is emailed about their own message, and a business you've turned off gets no email.
  • An email names the farm or the business, and the field if there is one, with a link to the thread. It never holds what anyone wrote or a file's name.
  • If you reply to one of these emails, your reply goes straight to the other side's address, outside Acrefile, and Acrefile doesn't keep it. If that side has no address on file, it comes to office@badgairbros.com.
  • Acrefile keeps a note of each email: who it went to and when. The note holds no words, and it goes when your record is deleted.
  • A business can send one message to many of its growers at once. Each farm gets its own copy in its own thread, marked as sent to several growers. No farm sees who else got it, and a reply goes to that business alone.
  • For each farm, that business sees when the email went, when someone on the farm read it, and when the farm replied. It never sees who read it or any address.
  • A business can text you a message from its own phone with "Text it". That opens the agronomist's own texting app, to the phone number on your record, with the message and a link to the thread. Acrefile sends no texts.
  • When you turn a business off, or its time on Sharing runs out, neither side can write in its thread. The business keeps a copy to read: what was said on both sides, and its own files. Your files leave its view. Let it in again and the same thread opens back up.

To-dos and jobs

  • Your farm keeps its own to-do list. Each business you let in has a list with your farm too.
  • On a business's list, your farm asks the business for things, and the business adds steps for itself or for your farm. Whoever a to-do is for checks it off, and gives it to one of their own people. To ask, a person you've added needs to be able to add records and write to the businesses you let in.
  • Everyone on your farm reads every list, whether they see money or not. The one exception is a to-do drafted from a paper about money: only the people who see money read it. Everyone at a business reads and adds to its own list with you, even if you let it in only to read. No other business sees it.
  • A job is work a business does on your farm, like soil sampling or spraying. Only that business adds or changes its jobs. Everyone on your farm reads them, and no other business sees them.
  • A business let in on some of your fields sees its to-dos and jobs on those fields, and the ones for the whole farm. In its thread with you, it still reads the ones about a field you later take off its list.
  • Each to-do shows who added it, whom it's for and who checked it off. Each job shows who added it and who last changed it. A name shows while that person is on your farm or at a business you let in.
  • When a spraying or fertilizing to-do, or a spraying job, is done, Acrefile offers to log it on its fields. The to-do or job then shows who logged it. The entry on the field's log doesn't say which to-do or job it came from.
  • From 6 a.m. Central, Acrefile emails a reminder of the to-dos due that day or the next, and the jobs set for those days. It goes to whoever a to-do is given to, while they can still check it off. Otherwise it goes to the address on your farm's record, or to the business if the to-do is for the business. A job's reminder goes to both.
  • One email covers everything due for that person, on every farm. It names the farms, the businesses and the fields, with counts. It counts to-dos past their day too, though those alone don't send an email. It leaves out what each to-do and job says. A business you've turned off gets none. There's no switch to stop these emails yet.
  • A reply to a reminder comes to office@badgairbros.com.
  • Acrefile keeps a note of each reminder: whom it was for, the farms it covered and when it went. The note holds no words. When your record is deleted, your farm comes off every note.
  • A business's people can text your farm's phone about one of its open to-dos or jobs with "Text it", from their own phone. The text names the business, the fields and the day, with a link to it in Acrefile. It leaves out what the to-do or job says.
  • When you turn a business off, or its time on Sharing runs out, it can't read its to-dos or jobs with you anymore. Its open jobs stop, and stay stopped if you let it in again. Your farm still sees them all. Let the business in again and the same list opens back up.
  • If a business leaves Acrefile, its to-dos and jobs with your farm go with it, including what you asked it for.

Papers a business files

  • A business you let in can file its papers on your record: plans, estimates, orders, invoices, labels, sell sheets and others. A paper can be a PDF, a photo or another file, up to 25 MB. Each is your farm's copy. The original stays in the business's own books. Acrefile makes no orders, invoices or payments.
  • Anyone at the business can file one, even if you let the business in only to read. Your farm can't file a paper. Once a paper is filed, nobody can change its details. A business fixes one by filing a new paper.
  • Your farm sees a paper once it's filed. A paper the business starts and doesn't file never reaches your farm, and it's deleted within 30 days.
  • Everyone on your farm reads the papers filed with it. Someone at the business picks what kind of paper it is and whether it's about money. Estimates, orders and invoices always are. When the AI sees prices on another paper, About money starts ticked, and the business can untick it.
  • Only the people on your farm who see money read a paper about money. The others don't see it's there.
  • Everyone at that business reads the papers it has with you, money ones too, whatever "Can see costs and prices" says. No other business sees them.
  • A business let in on some of your fields names its fields on every paper. It still reads the papers it filed about a field you later take off its list.
  • Each paper shows who at the business filed it, and when. The name shows while that business is let in.
  • While you let a business in, it sees the day someone on your farm first opened a paper's file. It never sees who.
  • When a business files papers, Acrefile emails the address on your farm's record and anyone on your farm who has written in that business's thread. The email waits 5 minutes, so one covers several papers. It goes even if someone has opened them by then. It says how many, with a link. It never names a paper or says what kind it is.
  • The address on your farm's record is told of every paper. Each person is told only of the papers they can open. A reply to the email goes to the business's own address, outside Acrefile, or to office@badgairbros.com if it has none.
  • Acrefile keeps a note of each of these emails: who it went to, when, and which papers it counted. The note holds no words, and it goes when your record is deleted.
  • Only your farm's owner can let go of a paper. It leaves your farm's papers, and for 30 days the owner can bring it back from Removed. To-dos drafted from it stay on your lists. The business that filed it can tell that the owner let go of it, and when.
  • The business's owner can let go of a paper on its side, and bring it back within 30 days. A paper both sides have let go of is deleted 30 days after the later one, with its file. A label or sell sheet sent from a business's library stays in its library.
  • When you turn a business off, or its access runs out, it keeps the papers it filed, money ones too, even ones your farm let go of. Its people can read them and open their files. They can't file or change a paper, but the business's owner can still let go of one. Let the business in again and it can file again.
  • If a business leaves Acrefile, your farm keeps the papers it filed, with their files.
  • A business can keep a library of its labels and sell sheets, and send one to your farm as a paper. It's filed as it's sent, and the AI doesn't read it. The library holds nothing from your record. If the business removes an item from its library, the copy on your farm stays.
  • Acrefile doesn't check papers for viruses.
  • Your farm's owner gets every paper the farm holds, with its file, in Download your record.

Share links

  • A share link lets someone without an account see one field, or your whole farm if you choose.
  • A link you make on Sharing lasts 30 days, 120 days or a year; you pick. A link made from a field's page lasts 120 days. A link your agronomist makes stops working sooner once their business can no longer work on your whole farm. That happens when you turn the business off, when its access runs out, or when the business leaves Acrefile. It stops even if the person who made it has since left the business. Sharing lists every link to your farm, whoever made it, and you can turn any of them off sooner. A business sees only the links its own people made.
  • Whoever has a link sees the field's maps, soil tests, harvests and signed recommendations, and can ask a question. They can't change anything. A link your agronomist makes for one field can also be used to send in a lab report.
  • A question asked through a link goes to the business that made the link. If the link is yours, or that business can't take the question, it goes to each business that can, a copy each. It's marked as asked through a share link, and whoever asked doesn't see the answer. Your own label for a link stays with you.
  • A link to one field never shows money or tickets. A whole-farm link shows your costs, prices, contracts and tickets. It doesn't show ticket photos.
  • No link shows your messages, to-dos, jobs, papers, flagged spots, the AI soil reading, or who else has access.
  • The one-page PDF printed from a link has a QR code that opens the link.
  • Sharing shows how many times each link was opened, and when last.

When we help you

Badgair Bros is the support team. Today that is Garrett Sarauer. To fix something in your record, he opens a support visit. He writes down why, and the visit ends on its own within 24 hours. Every visit shows on your Sharing page with the reason, word for word, and the time. You can close one early. The visit is logged. What support reads during it isn't.

During a visit, support can see and fix your record, costs included. It can read your messages with every business and their files, but it can't send a message or mark one seen. It can read every to-do list and job, but it can't add or change any of them. It can read the papers your farm holds, money ones too, but it can't file, let go of or bring back a paper. It can also read your farm's change log, which keeps a copy of each paper filed with it, even one your farm let go of. It can turn a business's access or a share link off, or take someone you added off your farm. Support can't let a business in or give a business more access, add someone to your farm or change what they can do, make a share link, sign anything, or change who owns the record or the email on it.

Outside a visit, the app shows Badgair Bros your record only if you've let Badgair Bros in. Even then it gets no thread, to-do list, jobs or papers with you, and reads none of your messages, to-dos or papers. To run the site, Badgair Bros can see each account's name, email and phone, and each farm's name. The people who build Acrefile can also open the database directly, to fix a problem or to test with a grower who has agreed to it.

What an agronomist sees

An agronomist you let in sees your name, email and phone. They see the fields you picked: maps, soil and tissue tests, what was planted and applied (products and rates), and the spots flagged on them. If you pick only some fields, they also see the farm each of those fields is on. They read their business's whole thread with your farm. They also read and add to its to-do list and jobs with you. They can file papers on your record, even if you let their business in only to read, and they read every paper it has with you, money ones too. Costs, prices, grain contracts, and tickets with their prices and photos stay hidden unless they can see your whole farm and you turn on "Can see costs and prices".

Who changed what

  • Fields, reports and prices show who added them and who last changed them. Each ticket shows who checked it, each message who wrote it, and each paper who filed it.
  • Acrefile keeps a log of changes to sharing, links, support visits, the people on your farm, hand-overs, fields, reports, spots, to-dos, jobs, filed papers, tickets and contracts, with a copy of what changed. Messages aren't in it: nobody can change one, so each is kept as sent. A paper's lines stay in the log after the paper is let go of or deleted, with its title and file name. The log also shows when a business lets go of a paper on its side, or brings it back. Your farm's owner can download the log from Download your record.
  • When an agronomist signs a recommendation or a scouting report, Acrefile keeps who signed and when, with the signing device's internet address and browser, as the record of the signature. No business you let in sees that address or browser.

What our AI sees

Some of Acrefile is written by AI: Anthropic's Claude models. Each place it's used is marked. Here is what each one receives.

  • The assistant, asked about a field or your whole farm: the record as the person asking sees it, names included. That means the fields, farms and grower, the agronomist's signed words with their name, soil numbers, passes and yields. Costs go only for someone who can see them; on the whole-farm view that includes your price list and grain contracts with the buyers' names. It never gets email addresses, phone numbers or field outlines. The chat isn't saved. If you send a question on to a business, the question and the AI's answer are saved as a message in that business's thread.
  • Draft replies for a business: your latest message in the thread, the assistant's answer if you sent one with it, and the record as the person drafting sees it. It never gets the rest of the thread or a file. They see the draft marked as written by AI. Acrefile saves nothing until they send it, and then it's their own message, under their name.
  • Lab reports: the PDF that was uploaded, so its numbers can be filed. Whatever it prints is read from it, names included.
  • Ticket photos: the photo of the ticket, so it can be filled in for a person to check.
  • The soil reading: numbers worked out from your checked soil tests, with a code in place of each field's name. It also gets each field's crop, and last season's crop and yield. It gets UW's word for the ground (loamy, sandy or organic), and whether what went on covered what the crop took off. Names, money and map points are left out.
  • Papers: each PDF a business uploads as a paper, invoices included. Whatever the PDF prints is read from it, names included. It gets none of your record's names: code matches what it read to your fields and farm name afterward. It notes the paper's kind, title, crop year and fields, the names printed as who it's for, whether it prints prices, and the steps it asks of your farm or the business. It drafts those steps as to-dos in the paper's own words, with no amounts, rates or prices.
  • What it read from a paper stays with that business while you let it in. Your farm sees none of it until someone there files the paper. They can change what it read, and keep or drop each to-do it drafted. Once they file it, the paper's details are theirs. The to-dos it drafted stay marked as drafted by AI.
  • Acrefile won't file a paper the AI reads as printed for another farm, or for several. A paper with no farm name read files with a note asking the business to make sure it's yours. A paper is read at most twice. A locked PDF, or one over about 50 pages, goes to Anthropic once to be measured and isn't read. Photos, other files and papers from a business's library aren't read, so their farm name isn't checked. What it read isn't in your download, and it's deleted with the paper.
  • To-do drafts: your words, when you ask the assistant to make them a to-do, and your farm's field names. It gets no other names and nothing else from your record. Nothing is saved until you add the to-do.

Anthropic deletes what it receives within 30 days. It keeps something up to 2 years only if it's flagged for breaking Anthropic's usage policy. It doesn't train its models on it. We try changes to the AI on a grower's record only with that grower's OK.

Cookies

  • Acrefile sets only the cookies it needs to work. One keeps you signed in until you sign out (it can take more than one cookie). One remembers which business you're working for. One holds the email you typed for 10 minutes, so the page can say where your sign-in link went. One remembers which first steps you've done on this device. Asking for a link also leaves one cookie that the sign-in tool writes and Acrefile doesn't use.
  • Your browser also remembers which sections you folded and the last map layer you looked at. That stays on your device.
  • Words in a message box wait on your device until they're sent, the box is emptied, or you sign out. That way a dropped signal loses nothing.
  • Acrefile doesn't track you or show ads, so there's no cookie banner.

Other services that see part of it

  • Anthropic (Claude): the AI above.
  • Resend sends our email: sign-in links, invitations, share links someone chooses to email, notices that something is waiting (a message, papers filed, a spot or its answer, a signature), and the morning reminders of what's due. A notice has names (the farm, the field, the business) and a link. It leaves out your numbers and what anyone wrote. Resend keeps its email logs for 30 days.
  • Google holds email sent to office@badgairbros.com, in Gmail. It passes through Cloudflare on the way.
  • The Iowa Environmental Mesonet (Iowa State University) gets the center point of a field and the season's dates, to look up the weather. It gets no names.
  • USDA (its Soil Data Access and CroplandCROS services) gets a rectangle around a field, to look up its soils and the crops grown there in past years. It gets no names.
  • USGS sends the map pictures to your browser. It sees which area is on the screen. It gets no names.
  • The Where I am button on a field's map asks your phone where you are and moves the map there. Acrefile never receives your location. The map's pictures for that spot come from USGS, as for any area you look at.
  • GitHub sends the fonts for the map's labels. It gets nothing about your farm.

If someone asks us for your record

If a government agency or anyone else asks us for your record, we tell you before we answer, unless the law forbids it. We give only what a valid legal order requires.

If something goes wrong

If your record reaches someone it shouldn't, we tell you what happened and what we did about it.

If Acrefile is sold or shuts down

We tell you first, and send you your files and a copy of your record, or delete it, as you choose.

Leaving

  • Ask us and we delete your record, signed reports included, with your files and the log's copies. The sign-ins on your farm are deleted too, yours included, unless they're tied to another farm or business. The log keeps one line: that a record was deleted on request, and when.
  • Your farm's messages and the files it sent go with your record. Each business you talked with keeps the messages and files it sent you, as written, with your farm's name taken off its thread.
  • Every to-do and job on your farm goes with your record, a business's own included. No business keeps a copy.
  • Each business keeps the papers it filed with your farm, with their files, until it lets them go or leaves Acrefile. Your farm's name stays wherever a paper or its title has it. Papers the business hadn't filed, or had let go of, are deleted. What our AI read from every paper goes with your record.
  • If someone else is on your farm, you can hand it to them instead.
  • Backups of it are gone within 7 days after that. Email you sent office@badgairbros.com is deleted by hand.
  • Some copies are out of our reach: Resend's email logs (30 days), what Anthropic received (30 days), and a PDF, email or text someone saved. Beyond what a business keeps in Acrefile, an agronomist keeps only the copies they saved themselves, such as the PDF of a report they signed, and the emails Acrefile sent them.
